The Chicago Center for Sports Medicine & Orthopedic Surgery (doing business as Primus Orthopedics) is a comprehensive orthopedic and physical therapy practice-serving patients across two locations. We pride ourselves on delivering exceptional care through a team-based approach.
Key ResponsibilitiesThis role is split between front office administration and clinical support.
Administrative / Reception Duties (Front Office)- Serve as the first point of contact for the clinic, warmly greeting and checking patients and visitors in and out.
- Manage a multi-line phone system, directing calls and taking accurate messages.
- Efficiently manage and maintain the therapist's scheduling calendar, booking, canceling, and rescheduling appointments.
- Perform insurance verification and obtain pre-authorizations for treatment.
- Collect and process co-pays, deductibles, and outstanding patient balances.
- Maintain and organize patient files, ensuring all records are accurate, up-to-date, and compliant with HIPAA regulations.
- Process new patient intake forms and assist with any necessary paperwork.
- Assist the licensed Physical Therapist with patient care tasks under direct supervision.
- Set up and prepare treatment areas and equipment before and after each session.
- Apply basic therapeutic modalities (e.g., heat/cold packs, electrical stimulation) as directed by the therapist.
- Monitor patients during prescribed therapeutic exercises, noting and reporting any changes or concerns to the therapist.
- Assist patients with safe transfers and mobility around the clinic.
- Maintain the overall cleanliness, organization, and sanitation of the clinic, including treatment rooms and gym equipment.
- Manage, clean, organize the clinic’s linen, equipment, and supply inventory.
Skills & Qualifications
- High School Diploma or GED required.
- Exceptional customer service and communication skills (written and verbal).
- Strong organizational skills with the proven ability to multitask and manage time effectively in a fast-paced environment.
- Proficiency with computer systems, including EMR/EHR software and standard office programs (Microsoft Office).
- Ability to stand for extended periods and the physical capability to assist in lifting or moving patients and equipment (up to 50 pounds).
- A compassionate, energetic, and professional demeanor.
- Previous experience as a Physical Therapy Aide, Tech, or Medical Receptionist is a plus.
- Familiarity with medical terminology and standard billing practices.
- Full-time position, Monday–Friday.
