Position Summary
The Facilities Specialist serves as the senior technical expert and working lead for the Community Food Bank's (CFB) Facilities Department. This position performs advanced maintenance, troubleshooting, repair, and preventive maintenance of commercial building systems while providing day-to-day technical guidance and work coordination to Facilities Technicians. This position supports the planning and prioritization of maintenance activities, coordinates technical work with vendors and contractors, assists with inspections and regulatory compliance, and helps ensure facilities remain safe, reliable, and operational.
Working closely with the Associate Director of Facilities Operations, this position promotes quality workmanship, operational efficiency, and continuous improvement while serving as the department's primary technical resource. This position does not have formal supervisory responsibilities.

- Serves as the department's primary technical expert for HVAC, refrigeration, plumbing, electrical, mechanical, and other commercial building systems.
- Performs advanced troubleshooting, diagnosis, repair, and preventive maintenance on complex building systems and equipment.
- Provides day-to-day technical leadership and work coordination for Facilities Technicians by assisting with work assignments, prioritizing maintenance activities, and serving as a technical resource.
- Reviews completed maintenance work to promote quality workmanship, safety, and compliance with established standards.
- Coaches, mentors, and provides hands-on technical training to Facilities Technicians while supporting onboarding and cross-training activities.
- Identifies recurring maintenance issues, determines root causes, and recommends long-term corrective actions and process improvements.
- Assists with planning, scheduling, and execution of preventive maintenance programs to maximize equipment reliability and minimize downtime.
- Coordinates maintenance activities with contractors, vendors, inspectors, and service providers while monitoring work quality and contract compliance.
- Assists with regulatory inspections and compliance activities, including OSHA, AIB, USDA, fire/life safety, backflow prevention, elevators, and other applicable requirements.
- Monitors refrigeration, HVAC, plumbing, utility, and building systems to support food safety, operational continuity, and regulatory compliance.
- Identifies equipment replacement needs, evaluates operational risks, and provides recommendations for capital improvements and facility upgrades.
- Maintains accurate maintenance records, work orders, preventive maintenance documentation, inspection records, and equipment histories within the computerized maintenance management system (CMMS).
- Promotes safe work practices and models compliance with OSHA, SDS, AIB, Feeding America, USDA, and applicable building codes and regulations.
- Responds to emergency facility issues and serves as the department's primary technical resource during after-hours emergencies as assigned.
- Serves as the acting technical lead during the Associate Director of Facilities Operations' absence while recognizing that performance management, corrective action, hiring, and other supervisory responsibilities remain with management.
- Recommends improvements to maintenance procedures, equipment standardization, inventory management, and operational efficiency.
- Performs other duties as assigned.
