JOB SUMMARY The Maintenance Supervisor is responsible for the day-to-day oversight of maintenance operations across multiple NOTCH service sites. Reporting directly to the Facilities Manager, this position supervises Maintenance Technicians and Custodial staff, coordinates maintenance activities, and ensures the safe, efficient, and cost-effective operation of agency buildings, grounds, vehicles, and equipment. The Maintenance Supervisor assists the Facilities Manager in implementing preventive maintenance programs, managing facility improvement projects, monitoring regulatory compliance, coordinating vendor services, and maintaining agency assets.

This is a hands-on position that works alongside Maintenance staff providing leadership, technical expertise, and direct and practical assistance to ensure facilities are maintained in a manner that promotes safety, operational excellence, and a positive environment.

ESSENTIAL DUTIES AND RESPONSIBILITIES The essential functions include, but are not limited to the following:

Supervises the daily work activities of Maintenance Technicians and Custodians and reports operational progress, facility concerns, and maintenance needs to the Facilities Manager.

Assigns, prioritizes, and monitors maintenance work orders to ensure timely completion and quality service.

Collaborates with the Facilities Manager to prioritize work orders, allocate staff resources, and schedule maintenance projects based on organizational needs and timelines.

Implements preventive, predictive, and corrective maintenance programs established by the Facilities Manager and provides recommendations for program improvements.

Monitors building systems and mechanical equipment through web-based building management systems and responds to identified issues.

Coordinates maintenance, repair, and installation activities involving HVAC systems, heat pumps, electrical systems, plumbing, carpentry, painting, masonry, and grounds maintenance.

Conducts routine inspections of properties, equipment, and facilities to identify maintenance needs, safety concerns, and regulatory compliance issues.

Identifies facility, equipment, and safety concerns and communicates recommendations for corrective action to the Facilities Manager.

Develops maintenance schedules and ensures seasonal property maintenance activities are completed, including snow removal, lawn care, and weather-related preparations.

Provides technical guidance, training, and support to maintenance staff and assists with complex troubleshooting and repairs.

Participates in the recruitment, onboarding, training, coaching, and performance evaluation of maintenance staff and provides recommendations to the Facilities Manager regarding personnel actions.

Ensures maintenance staff follow established safety procedures, agency policies, and applicable federal, state, and local regulations.

Maintains accurate maintenance records, inspection reports, preventive maintenance logs, inventory documentation, and warranty information.

Coordinates contractor and vendor activities and provides updates to the Facilities Manager regarding project status, quality of work, and budget considerations.

Assists the Facilities Manager with capital improvement planning, deferred maintenance projects, and long-range maintenance strategies.

Assists the Facilities Manager in monitoring maintenance expenditures, inventory levels, equipment replacement needs, and department budget performance.

Maintains inventory levels of tools, equipment, supplies, and replacement parts necessary for efficient operations.

Evaluates equipment performance and recommends repairs, replacements, and facility improvements.

Ensures agency vehicles, tools, and equipment are maintained in safe operating condition.

Responds to emergency maintenance situations and coordinates after-hours responses as needed.

Performs hands-on maintenance work as required and serves as a backup for maintenance staff.

Performs other duties as assigned.

Demonstrated ability to effectively supervise, motivate, and develop maintenance staff while fostering a collaborative and accountable work environment.

Proven ability to assess competing maintenance needs, establish priorities, and make sound decisions to ensure operational efficiency and timely completion of work orders and projects.
