Position Summary: The Accounting Specialist plays a key role in supporting the financial operations of the company through accurate processing of accounts receivable, accounts payable, job costing, reconciliations, and general accounting activities. This position requires exceptional attention to detail, strong organizational skills, and the ability to manage multiple priorities while maintaining confidentiality and accuracy.
The Accounting Specialist works closely with project managers, vendors, customers, and internal departments to ensure timely processing of financial transactions and compliance with company policies and procedures.
Key Responsibilities- Accounts Receivable
- Create and maintain customer accounts in Quick Books Desktop.
- Activate and maintain client jobs and project records.
- Generate and distribute customer invoices accurately and timely.
- Apply customer payments and maintain accurate account records.
- Research and resolve billing discrepancies.
- Accounts Payable
- Create and maintain vendor accounts.
- Review, verify, and process vendor invoices.
- Ensure proper coding and approvals are obtained.
- Maintain vendor files, W-9s, and insurance documentation.
- Resolve vendor inquiries and discrepancies.
- Assist with month-end and year-end closing activities.
- Maintain accurate financial records and supporting documentation.
- Prepare journal entries as assigned.
- Assist with sales tax reporting and compliance activities.
- Support annual audits and financial reviews.
- Assist with job costing and project profitability tracking. Administrative Responsibilities
- Monitor accounting-related email inboxes and respond in a timely manner.
- Maintain organized digital and physical accounting files.
- Support internal departments with accounting-related requests.
- Assist with document management and record retention.
- Serve as a backup for the Administrative Assistant position, including front desk coverage, answering phones, greeting visitors, and general office support as needed.
- Perform additional tasks and responsibilities as assigned to support team and organizational goals.
- High school diploma or GED required.
- Minimum 3 years of accounting experience.
- Minimum 3 years of experience using Quick Books Desktop.
- Proficiency in Dropbox, Microsoft Excel, Word, Outlook, Teams, and SharePoint.
- Strong understanding of accounting principles and processes.
- Experienced in paperless office environment.
- Excellent organizational skills and attention to detail.
- Strong verbal and written communication skills.
- Ability to prioritize tasks and meet deadlines.
- Associate or bachelor’s degree in accounting, Business, or related field.
- Experience with construction, project, or job-cost accounting.
- Knowledge of payroll processing and multi-state payroll compliance.
- Experience with sales tax reporting.
- Advanced Microsoft Excel skills.
- Accounting certification or coursework preferred.
- Electronic Document Management Environment
- Bilingual in English and Spanish strongly preferred
