Order Entry Specialist

• Manage customer accounts with the goal of increasing satisfaction, gross margin, and sales.
• Handle customer requests including quotes, orders, follow‑up, and delivery information.
• Resolve customer matters, issue credits and debits, and authorize returns.
• Communicate customer requirements to Operations & Engineering.
• Monitor price and inventory agreements.
• Support outside sales team members.
• Work effectively in a team environment to solve customer issues.
• Report issues and problems to management promptly.
• Maintain meticulous attention to detail and accurate documentation to support decisions and ensure continuity of service.
• Handle the volume of orders ranging from 50‑75 larger orders with multiple line items.
• Work within the Power Transmission Team with international and domestic clients.
• Allocate time between managing emails (210‑265 daily) and handling phone calls (approx. 70% of the day) and preparing custom orders.
• Use QAD and Felix systems for quoting, order entry, tracking, and inventory management.
• Apply strong mathematical skills (fractions, decimals) and meticulous attention to detail during order entry, particularly regarding ship‑to addresses and customer notes.
• Manage shipping and routing: select carriers, understand complex codes (collect, prepaid, third party), and ensure correct freight payment.
• Perform thorough contract reviews for both orders and quotes, verifying all details before processing and sending confirmations.
• Maintain a paperless environment.

• Minimum 2 years of manufacturing sales support or manufacturing customer service.
• Experience managing product knowledge in a previous role.
• Proficiency with Microsoft Office Suite.
• Order entry experience.
• Knowledge of QAD software is a plus.
• Strong organizational skills and detail orientation.
• Effective communication skills and ability to work in a team.
