Maintenance Facilitator/Coordinator
The Maintenance Facilitator/Coordinator is responsible for coordinating and supporting daily maintenance operations to ensure facilities, equipment, and assets are maintained safely and efficiently. This role schedules preventive maintenance, manages work orders, coordinates contractors and maintenance staff, tracks inventory, and ensures timely completion of maintenance activities while maintaining accurate records.
Essential Duties and Responsibilities- Coordinate daily maintenance activities and prioritize work orders.
- Schedule preventive maintenance
- Assign work orders to maintenance technicians and monitor completion.
- Serve as the primary point of contact for maintenance requests from staff, tenants, or departments.
- Coordinate outside vendors and contractors for repairs and maintenance services.
- Maintain maintenance records, reports, and documentation using a computerized maintenance management system (CMMS).
- Monitor equipment performance and recommend repairs or replacements.
- Ensure compliance with OSHA regulations, company policies, and safety procedures.
- Conduct routine facility inspections and identify maintenance needs.
- Support emergency maintenance response and after-hours coordination when required.
- Prepare reports on maintenance performance, work order status, and preventive maintenance compliance.
- Promote a safe, clean, and organized work environment.
- High school diploma or GED required; associate degree or technical certification preferred.
- Two or more years of maintenance, facilities, or operations experience preferred.
- Previous experience coordinating maintenance activities is preferred.
- Working knowledge of building systems, including HVAC, plumbing, electrical, and mechanical equipment.
- Experience using CMMS or maintenance management software.
- Proficiency in Microsoft Office (Word, Excel, Outlook).
- Strong organizational, communication, and customer service skills.
- Ability to prioritize multiple tasks and meet deadlines.
- Valid driver's license may be required.
- Leadership and team coordination experience.
- Knowledge of preventive maintenance programs and asset management.
- Strong problem-solving and decision-making abilities.
- Experience with purchasing and vendor management.
- Familiarity with OSHA safety standards and facility compliance requirements.
- Ability to walk throughout facilities and conduct inspections.
- Occasionally lift up to 25–50 pounds.
- Ability to climb ladders, bend, kneel, and work in varying indoor and outdoor conditions as needed.
